POP3
When using POP3 (Post Office Protocol, version 3), all of the messages are downloaded from the mail server and saved locally. Your Email is only accessible from one computer/device and Incoming Mail is no longer available when using WebMail or any other computer/device.
- Designed for offline message processing.
- Can only download messages from a single folder in the mailbox to a single folder in the POP3 application on the client computer or device.
- By default, downloaded messages are removed from the email server, and are stored only on the local computer or device. Therefore, users can't access the same email messages from multiple computers or devices.
- Doesn't offer advanced collaboration features such as calendaring, contacts, and tasks.
IMAP
Email client applications that use IMAP4 are more flexible and generally, offer more features than email client applications that use POP3.When using IMAP, your Inbox is stored on the mail server whereas the Sent Items are still stored locally. When you check your mail, your computer contacts the mail server to show you the new Incoming Mail. All of your Inbox is available from any computer and you can check it from anywhere in the world by using WebMail.
- Offers offline and online message processing.
- Can synchronize messages from multiple folders in the mailbox with the client computer or device. For example, most IMAP4 applications can be configured to keep a copy of sent messages in the mailbox on the email server.
- By default, copies of downloaded messages remain on the email server. Therefore, users can access the same messages from multiple computers.
- Supports additional features. For example, you can download the message headers before you decide to download the complete message.
- Doesn't offer advanced collaboration features such as calendaring, contacts, and tasks.
POP3 settings
To configure the POP3 Email account setting-
- Open the control panel.
- Select the Mail setting.
3. After selecting the mail setting, Select the Email Accounts option.
4. Select the New to make a POP3 email account.
5. Click the Manual setup or additional server types button, then click Next.
6. Select the Pop or IMAP option and then click Next.
7. Fill all the information name, email address, etc. Now click on the More settings button.
8. Select the outgoing server option, then check the My outgoing server(SMTP) requires authentication.
9. Select the Advanced button. The incoming server and outgoing server for POP3 is 995 and 587 and check the SSL for incoming and choose the TLS for outgoing server. Then click ok.
IMAP settings
To configure the IMAP Email account setting-
1. Open the control panel.
2. Select the Mail setting.
3. After selecting the mail setting, Select the Email Accounts option.
4. Select the New to make an IMAP email account.
5. Click the Manual setup or additional server types button, then click Next.
6. Select the Pop or IMAP option and then click Next.
7. Fill all the information name, email address, etc. Now click on the More settings button. click Next.
8. Select the outgoing server option, then check the My outgoing server(SMTP) requires authentication.
9. Select the Advanced button. The incoming server and outgoing server for POP3 is 993 and 587 and check the SSL for incoming and choose the TLS for outgoing server. Then click ok.
